Answer a security questionnaire when the evidence supports only part of the claim
Work through an original supplier-side example with scope, source dates, an internal question and a revised draft answer.
On this page
Separate the requested claim from the evidence you have. If the record covers only part of the requested population or period, preserve that limit and ask the responsible owner for what is missing. Do not turn an old answer into a current assurance merely because it was previously approved.
An original response record
Fictional Northbank Cloud receives a question about whether all production administrative accounts require MFA. The packet contains a current export of human administrator settings, a list of two service accounts and a six-month-old approved response saying “yes.” It contains no current evidence about how the service accounts authenticate.
| Field | Working record |
|---|---|
| Requested scope | All production administrative accounts |
| Supported observation | Listed human administrator accounts have MFA configured in the supplied export |
| Unresolved boundary | Service-account controls and completeness of the population |
| Internal request | Ask the identity owner to confirm scope and applicable service-account safeguards |
| Release state | Draft pending the organization's review, not an approved customer answer |
Do not assume that every nonhuman account should use the same authentication mechanism as a human account. The exercise asks you to identify the gap, not design controls from a partial packet.
Draft the qualification
An internal draft could read: “The current evidence establishes the setting for the listed human administrator accounts. We have requested confirmation of the complete production administrative population and the controls applicable to service accounts before approving a full-scope response.”
If the form permits only yes or no, do not silently replace “unknown” with whichever answer is convenient. Ask the questionnaire owner how to record a pending or qualified response through its supported process. A formatting constraint does not supply missing evidence.
Add one fact and revise only what it resolves
The identity owner confirms that the two service accounts are not production administrative accounts and supplies a reconciled list matching the current export. This resolves the specific population question in the fictional packet. It does not establish every other security claim in the customer's questionnaire or guarantee that the configuration will remain unchanged.
Retain the source reference and review date with the updated draft. Route it through the required approval step; the person gathering evidence does not automatically have authority to make an external assurance.
Use an actual framework carefully
The Cloud Security Alliance's CAIQ overview explains its relationship to the Cloud Controls Matrix. A real assessment's instructions and scope matter. This original worksheet is not a completed CAIQ, certification or legal assurance.
For a portfolio, show the initial draft, the missing-evidence request and the revised conclusion using fictional records. Compare the questionnaire preparation options if you want broader evidence practice. The policy-versus-evidence guide helps explain why a statement of intent and an operating record answer different questions.
If your work sits on the seller side
This exercise focuses on evidence and the limits of an assurance claim. If your interest is explaining a security product to prospective customers, explore sales engineering preparation on our sister publication Tech Sales Playbook. Presales preparation serves a different task from audit or risk assessment.
